Expense Rabbit is an iOS app that scans receipts and turns them into categorized expense data. This policy explains what we collect, why, and the choices you have. It is written specifically for this app, not copied from a template.

Expense Rabbit is operated by the Expense Rabbit team ("we", "us", "our"). By creating an account and using the app, you agree to the practices described here. If you do not agree, please do not use the app.

Information we collect

We collect only what we need to run the service:

  • Account email. When you sign up, we collect your email address to create and secure your account and to contact you about your account or support requests.
  • Receipt images. When you scan a receipt, we collect the image you capture so we can extract the expense details from it and let you review them.
  • Extracted expense data. From each receipt image we derive structured data such as the merchant name, date, total, tax, line items, and the suggested category and confidence score. Your edits and approvals are stored as part of your expense records.
  • Budgets and settings. Any budgets, categories, and preferences you set in the app.
  • Basic diagnostics. Limited technical information such as app version, device type, and error reports, used to keep the app stable. We do not use this to build advertising profiles.

We do not ask for or store your bank login credentials, and we do not require access to your camera roll beyond the photos you choose to scan.

How we use your information

We use the information above to:

  • Provide the core service: read your receipt images, extract and categorize the expense data, and show it back to you for review.
  • Save your approved expenses so your dashboard, budgets, and financial-health score stay up to date.
  • Sync approved expenses to accounting tools you choose to connect, such as QuickBooks, or export them to CSV at your request.
  • Maintain and secure your account, and respond when you contact support.
  • Diagnose problems and improve the reliability of the app.

How receipt images are processed

When you scan a receipt, the image is processed by automated systems to read the text and extract the expense details, including merchant, date, total, tax, and line items, and to suggest a category. This processing exists to give you the structured data you see in the app. The results are shown to you to review, edit, and approve before they become part of your records. We do not use your receipt images to train advertising systems, and we do not sell them.

How we share information

We do not sell your personal information. We share it only in these limited cases:

  • Service providers. Trusted companies that help us operate the app, such as cloud hosting, process data on our behalf under agreements that require them to protect it and use it only to provide their service to us.
  • Accounting connections you authorize. If you connect an accounting tool such as QuickBooks, we share the expense data you approve to sync with that tool, at your direction. You can disconnect the integration at any time.
  • Legal reasons. If required by law, regulation, or valid legal process, or to protect the rights, safety, and security of our users and our service.
  • Business transfer. If the Expense Rabbit team is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this policy.

Data retention

We keep your account email, receipt images, and extracted expense data for as long as your account is active, so that your records and dashboard remain available to you. When you delete a specific expense or receipt, we remove it from your active records. When you delete your account, we remove your receipt images and extracted expense data, except where we are required to retain limited records to meet legal, tax, or security obligations. Backups are cycled out on a rolling basis.

Your rights and choices

You are in control of your data. You can:

  • Access and review your expenses and account information inside the app.
  • Correct any extracted field by editing it before or after you approve an expense.
  • Export your approved expenses to CSV at any time.
  • Delete individual receipts, or your entire account and its data, from within the app or by emailing us.

Depending on where you live, you may have additional rights under laws such as the GDPR or the CCPA, including the right to request a copy of your data or to object to certain processing. To exercise any of these rights, email support@expenserabbit.app and we will respond within the timeframe required by applicable law.

Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and access controls that limit who can reach your data. No method of storage or transmission is perfectly secure, but we work to protect your information and to promptly address issues if they arise.

Children

Expense Rabbit is intended for adults managing their own or their business expenses. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

International users

We may process and store information in countries other than the one you live in. Where we do, we take steps to ensure your information receives a level of protection consistent with this policy and applicable law.

Changes to this policy

We may update this policy as the app evolves. When we make material changes, we will update the date above and, where appropriate, notify you in the app. Your continued use of Expense Rabbit after an update means you accept the revised policy.
